The Role

To provide high-quality administrative and organisational support to the Partners in Manchester. The role involves diary management, coordinating meetings and travel, preparing documents, and helping ensure the smooth day-to-day running of the Manchester office.

Responsibilities

Administrative support

  • Provide proactive secretarial and administrative support to Partners and senior colleagues
  • Manage diaries, meetings and appointments
  • Arrange internal and external meetings, including booking rooms and coordinating attendees
  • Organise travel and accommodation where required
  • Process expenses and support with billing/invoicing administration
  • Monitor inboxes and assist with correspondence and responses
  • Help with completion of Partner’s timesheets

Document production

  • Prepare, format and proofread reports, presentations, letters and meeting papers
  • Support with producing client-facing documents to a high professional standard
  • Maintain electronic filing systems and ensure records are kept up to date

Internal meeting coordination

  • Prepare agendas and meeting papers
  • Take notes/actions where required and track follow-up items

Team support

  • Act as a key point of contact for internal and external stakeholders
  • Support wider office team administration and ad hoc projects
  • Help maintain efficient office and team processes
  • Build strong working relationships across the business

Skills and experience

  • Previous experience in a PA, Executive Assistant or senior administrative role
  • Excellent organisational skills with the ability to manage multiple priorities and deadlines
  • Strong diary management and meeting coordination experience
  • High attention to detail and strong proofreading skills
  • Confident preparing professional documents (including agendas and minutes)
  • Excellent written and verbal communication skills
  • Strong IT skills, including Microsoft Outlook, Word, PowerPoint and Excel
  • Able to work proactively, use initiative and manage tasks independently
  • Professional and approachable manner with strong interpersonal skills
  • Comfortable handling confidential and sensitive information discreetly
  • Comfortable working in a fast-paced professional services environment
  • A flexible and collaborative approach, with willingness to support the wider team when needed
